Position: Assistant to the Mayor

Join the Mayor’s Office in the City of Berkeley! Adena Ishii is the first Asian American and first woman of color elected Mayor of our vibrant and active city. She is looking for a professional individual who is organized and communicative to join her team as the Scheduler and Constituent Services Coordinator, under the role of Assistant to the Mayor.

The City of Berkeley is a medium-sized city located in the greater San Francisco Bay Area. It has a long history of making regional and national impact and is home to entities like UC Berkeley, Bayer, Telegraph Avenue, and the Berkeley Repertory Theatre. Mayor Ishii is committed to building connections and supporting policies that serve local residents and uphold Berkeley’s values.

Mayor Ishii is working to build bridges and increase transparency and accountability within the city. The Mayor’s policy priorities are infrastructure, homelessness and housing, and public safety. She also is a strong advocate for creating opportunities for new leadership in our community. As a community driven individual, she holds regular office hours and events to engage with the public and learn from them about the issues that matter most.

She values collaboration and embodies these values in all aspects of her life. Mayor Ishii is building a staff that will bring innovative solutions to support the community's needs. She is looking for a creative, values-driven individual to be her Scheduler, often acting as a first point of contact for external partners. In addition to scheduling needs, this role will also be responsible for tracking constituent service requests and general communications, performing regular administrative tasks to support the office and its staff, and providing event/meeting support, as needed.

This position will require the following skills and experience:

  • At least 2 years of experience working as an executive assistant or office manager

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, Power Point, Sharepoint) and Google Suite

  • Experience with project management tools like Asana or Monday

  • Strong workplace communication skills (in-person and phone) with individuals from diverse backgrounds and perspectives

  • Ability to work in a fast-paced environment

  • Ability to take complex requests and systematically identify and address needs and opportunities in a timely manner

  • Ability to build relationships across sectors and key community stakeholders

  • Attentive to detail and uses established protocols and systems to implement work flow

  • Capable of find and implement solutions to issues quickly, with a high level of autonomy

  • Experienced with maintaining a high level of discretion

  • Highly reliable and attentive to the needs of others

  • Enthusiastic about being a collaborative team member

This position is expected to work in the office during regular business hours. It is full time, exempt and an at-will, non-represented position under the City’s job classification of Assistant to the Mayor. The pay rate range for this position will be $48.15 to $52.88 per hour and includes a generous benefit package with healthcare, retirement, and paid time off, among other benefits offered to City of Berkeley employees.
